A sales quote template is tested in three moments that arrive after the quote has been sent. The buyer signs in week seven at prices the seller no longer offers, because the quote named no date on which it lapsed. The buyer's purchase order arrives with four pages of printed terms, and nothing on the quote limited acceptance to the quote's own terms. A subscription sold on a twelve-month commitment can reach the pipeline as its onboarding fee alone, because its recurring lines were set to renew until cancelled and the contract value the deal inherited leaves such lines out.
This article sets out a template that holds in those moments. It starts with the sections a quote must carry and the dispute each prevents, then gives the complete template, filled with labelled sample data and copyable as Markdown. Recurring totals and the legal work of the validity and acceptance lines follow, then the variants, a HubSpot build ending in verification, costs, symptoms and the limits of the evidence.
A quote is a priced offer for a defined scope, open for a stated period and capable of acceptance as written. An estimate approximates a price that cannot yet be fixed, a proposal argues for a course of action and may enclose a quote, and an invoice demands payment for what was agreed. Three questions travel together under the phrase quote template: what the document must say, what it does in contract law, and how a system produces it. The sections table answers the first, contract law the second and HubSpot's documentation the third; no one of those sources answers the others.
Required Sections of a Sales Quote and the Disputes Each Prevents
Each section settles a question before it can become a dispute, and a section missing from the template leaves that question to be argued after the work has started.

The totals row decides what the buyer believes the commitment to be, and the validity and acceptance rows decide whether a contract formed, on whose terms and until when.
Filled Sales Quote Template on Sample Data
The template below is filled with sample data: the seller, buyer, people, prices and dates are invented and describe no client. It quotes a services engagement with a twelve-month subscription attached, so that one document exercises both one-time and recurring totals, and it can be pasted into a document editor or used as the specification for a CRM template.

Training is 2 × $1,200 = $2,400 less 25 percent, or $1,800; the licence is 30 × $45 = $1,350 a month less 10 percent, or $1,215, and $14,580 over twelve payments. Before discount the lines total $35,600, and the discounts of $600 and $1,620 come to $2,220, which is 6.2 percent. The buyer pays $14,000 + $1,800 + $1,215 + $3,000 = $20,015 on acceptance, then eleven licence payments of $1,215, which is $13,365, for $33,380 over the term.
Recurring Quote Totals: Due on Acceptance, Term Value and Evergreen Lines
A one-time quote has one total. A quote with a recurring line has at least three, answering what the buyer pays on acceptance, what the buyer pays each period after that, and what the buyer has committed to over the term. HubSpot's template editor documents the same separation: its totals options include an amount due on the effective date, which excludes payments starting later, and a total contract value (TCV) covering one-time charges and recurring charges with defined billing terms.
That definition has a consequence the documentation does not spell out. TCV excludes recurring charges billed indefinitely, and a line item's billing terms are either a fixed number of payments or automatic renewal until cancelled. When the sample's licence and support lines are set to renew until cancelled, its TCV falls from $33,380 to $15,800, the two one-time lines, while the buyer's first-year payments do not change.
The figure reaches the pipeline. HubSpot's quote documentation states that where a deal's amount is not set by manual entry, publishing a quote copies its TCV to the deal. Read together, the two statements imply that an evergreen subscription quote reports only its one-time charges: $15,800 against a first-year commitment of $33,380, an understatement of 53 percent. This is an inference from two documented definitions, not an observed outcome. The settings page also offers a default quote value of Quote amount or TCV without saying how it reaches the deal, so the build procedure tests the behaviour.
The rule for the template is to print the term beside every total. Where the commitment is fixed, recurring lines carry a fixed number of payments. Where lines genuinely renew until cancelled, the quote states a first-year figure beside TCV, so that neither the buyer nor the pipeline reads the one-time charges as the contract.
Validity and Acceptance in Contract Formation
A quote becomes a contract through its validity and acceptance lines, and their effect depends on whether it sells goods or services. The rules below are read from the official text of the Uniform Commercial Code (UCC) and from Cornell's Wex definitions; they describe what a template's wording engages, and counsel settles the wording.
A document is an offer only if it reads as one. An offer must be stated so that a reasonable person would expect a binding contract to arise from its acceptance, so a price list with no acceptance method gives the buyer nothing to accept. The acceptance section is what makes the template an offer, and it names the method because acceptance should arrive in a manner the offeror authorised, requested or could reasonably expect.
The validity line binds differently by what is sold. For services, an offer can generally be withdrawn before acceptance unless the parties formed an option contract, so "valid until" sets the buyer's deadline and promises nothing. For goods, UCC § 2-205 makes a merchant's offer in a signed writing that gives assurance it will be held open irrevocable for the time stated, and never beyond three months. The UCC's definition of signed includes any symbol executed or adopted with present intention to adopt or accept a writing (§ 1-201). A product quote that holds its prices until a date may therefore bind the seller to them, and a 120-day validity line on such a quote is irrevocable for three months at most.
A purchase order carrying the buyer's printed terms separates the variants again. For goods, § 2-207 treats a definite expression of acceptance as an acceptance even when it states additional or different terms, unless it is expressly made conditional on assent to them. Between merchants, the additional terms join the contract unless the offer expressly limits acceptance to its own terms, the terms materially alter it, or the seller objects in time. The sample's acceptance clause invokes the first of those three exceptions. For services, the mirror image rule still applies outside the UCC, so a reply that changes the terms can operate as a counteroffer, and the seller's answer to the purchase order then forms or declines the contract.
An offer not accepted in time lapses, and HubSpot's expiration setting follows suit: a quote not accepted or signed by its expiration date expires, while one accepted in time does not, even with countersignature or payment outstanding. Whether HubSpot's recall action, which withdraws a published quote for editing, also revokes a firm offer is a legal question the software does not answer.
Quote Template Variants for Services, Products and Subscriptions
The eight sections hold in every variant, and each variant adds lines chosen by what the buyer is paying for.

The products row has a system consequence as well: HubSpot's automated sales tax calculates correctly on a shipped order only when the quote carries a shipping line item. A quote mixing goods and services, such as equipment with installation, raises the question of which body of law governs it, and counsel answers that before the template fixes its validity and acceptance wording.
HubSpot Quote Template Configuration
HubSpot runs two quoting tools. The current one belongs to HubSpot CPQ, and its quote templates require Revenue Hub Professional or Enterprise. Building a template needs a core seat and Super Admin or Manage quote templates permission; using one needs a Revenue Hub seat, per the tool comparison. Accounts that kept legacy quotes customise templates on Sales Hub Professional or Enterprise, and free and Starter accounts can edit only the theme of the three defaults. The eight sections map onto the editor's header, parties, summary, line items, terms, payments and acceptance modules, with scope in a rich text module. Three documented limits shape the design. The line item table holds up to seven columns, with further properties as rows beneath each item. Discounts sit on individual lines, never on the whole quote. HubSpot applies discounts, then fees, then taxes, and warns that a system rounding at another point can differ slightly (line item behaviour).
- In Settings, open Data Management → Objects → Quotes, set a default expiration period between 1 and 365 days, and on the Reminders tab add a reminder a set number of days before expiration.
- On the Quote templates tab, click Open template library, then Create new quote template → Create quote template.
- In the header module, keep reference, issue date, expiration date and currency visible, and switch on PO number where buyers issue purchase orders.
- In the parties module, set the seller company at template level and switch on Tax IDs, up to three per quote, where buyers need them; put scope and exclusions in a rich text module.
- In the line items module, choose seven columns, with Number of payments as an item row beneath them: name, SKU, quantity, unit price, discount, billing frequency and net price. On the Totals tab, switch Totals on and keep taxes, the amount due on the effective date with a description, and TCV visible.
- Write the commercial terms, validity statement and acceptance limitation into the terms module and lock it; set payment terms, the acceptance method and countersigners; publish.
- Verify on a test deal with tax off. A quote built from the template with the four sample lines should show $20,015.00 due on the effective date and a TCV of $33,380.00, and a seller should be unable to edit the terms. Publish it and record the deal amount, then repeat with the licence and support lines set to renew until cancelled and record TCV and the deal amount again. The template is ready when the first quote matches the arithmetic above and the evergreen result is written down for whoever reports on pipeline.
Costs and Returns of a CRM Quote Template and a Document Template
The firm is a HubSpot Solutions Partner that configures quote templates, an interest to weigh in this comparison.
A document template in Word, Google Docs or a spreadsheet wins on two specific axes. It needs no subscription, whereas a HubSpot template needs Revenue Hub Professional or Enterprise and a Revenue Hub seat for every quoting user, a cost that a business issuing a handful of quotes a month may never recover. It has no layout ceiling, whereas HubSpot's line item table stops at seven columns and cannot display file or HubSpot user properties.
A CRM template buys what a document cannot enforce: computed totals, an expiration date that changes the quote's status, recorded acceptance, locked terms, and a published quote that becomes the deal's primary quote, which the deal's amount and line items then match. It costs the subscription and seats, the configuration above, and the discipline of setting billing terms on every recurring line.
The case is strongest for recurring or multi-line quotes issued by several sellers under terms that must not drift. It is weakest where quotes are few, layouts bespoke, or prices computed outside the CRM from measurements, the distinction quoting software draws through its recompute test. Symptoms of a Defective Quote Template and Their Mechanisms
A subscription deal shows its onboarding fee as its amount. Its recurring lines renew until cancelled, TCV excludes them, and publishing copies TCV to a deal whose amount is not manual entry. The fix is a fixed number of payments matching the committed term, or pipeline reports built on the line items' recurring revenue properties.
The accounting invoice differs from the accepted quote by a cent. HubSpot applies discounts, fees and taxes in sequence and rounds discounts to the currency's precision, and an accounting system that rounds at a different point can disagree. The template therefore states its rounding rule, and reconciliation happens at the total.
A buyer's purchase order terms are cited in a dispute over a goods order. The quote never limited acceptance to its own terms, which left room under § 2-207 for those terms to join the contract; a counsel-worded acceptance clause in the locked terms module closes that route.
A reissued quote goes out at last year's prices. The seller cloned the expired quote, and a clone copies line item price, terms and discount. The correction listed among the quote-to-cash antipatterns rebuilds the reissue from the product library, which carries the current price.
No tax appears on a quote whose lines all start later. Automated sales tax on quotes covers only amounts due at checkout, so tax arrives on the first invoice, and the description under the amount due on the effective date says so.
Scope, Jurisdiction and the Limit of the Evidence
This article covers the content of a sales quote and its configuration as a HubSpot quote template. It does not draft contract terms, compare quoting products, or follow the accepted quote into invoicing and collection, which quote to cash covers. HubSpot behaviour is as documented in September 2026. The legal rules are the official UCC text and Wex definitions published by Cornell's Legal Information Institute, which each state enacts or applies in its own form; nothing here is legal advice.
The evidence has three limits. The deal amount on an evergreen quote is inferred from two documented statements, not observed in a portal. HubSpot's tool comparison, updated on 25 September 2026, disagrees with itself on templates: one row says legacy templates cannot be transferred, and another lists a template migrator, which a migration page documents step by step. This article treats migration as available and its output as a draft to review. No frequency of any symptom has been measured.
